Studio Rental Letter of Agreement
This letter shall constitute an agreement between Movement Research and ____________________________ concerning the rental of the premises of Eden’s Expressway, 537 Broadway, 4th Floor studio.
Studio Rental Rates Rehearsals: $10/hr: Private Classes/Workshops: $25/hr.
Payment: Fees are to be paid prior to your first rental date. Cash, checks and online credit card payment are accepted. All checks should be made payable to Movement Research. Cash or checks may be dropped off during business hours, or checks can be mailed to: Movement Research,55 Avenue C, New York, NY, 10009. MR can only process credit card payments online, not at the office.
Confirmation Policy: You will receive an email stating that you are booked for times which will be listed with date, time, and studio details. You are considered to be confirmed and responsible for those times upon receipt of that email regardless of whether or not you respond to that email. Unless we hear otherwise from you (see cancellation policy), we will assume that you will use and pay for the times listed in your confirmation email.
Cancellation Policy: If you cancel more than or up to 2 weeks in advance of your rental date, you may receive a full refund. If you cancel within the 2 weeks leading up to your rental, you will be fully responsible for the cost of the time cancelled. Renters will not sub-lease their time to another renter or rehearsal. If there is an emergency and the renter has to cancel without sufficient notice, the renter may offer the space to another artist, upon approval by Movement Research staff. Late Cancellations: Cancellations that are made within 48 hours of the rental date will incur an additional $10 cancellation fee. This fee will help MR cover administrative costs associated with late cancellations
Accessing the Studio The studio is located in a co-op building that limits the number of keys for building access to one per co-op shareholder. Movement Research leases Eden's from one of the co-op shareholders. The rental schedule reflects this situation with the majority of space renters scheduled back to back, with the expectation that we rely on each other and the dance community to support the system of access. Movement Research asks your cooperation in helping this system run smoothly for both our community and for the valued space.
Arrival: Renters are expected to arrive on time -up to 10 minutes early in order to be buzzed into the building by the previous renter. Those arriving for group rehearsals should be mindful of the rehearsal/class/workshop in progress. The choreographer should buzz only once to gain entry to the building, and make sure that someone remains in the vestibule to let the other dancers in. If you do not arrive in time to be let in by the previous renter you will lose studio access and will still be responsible for payment. Movement Research is not responsible if a renter is locked out due to lateness, so please call the office if you know you will be late or have another emergency.
Departure: If there is a rehearsal scheduled after your rental period you will become the link for the next renter and are expected to buzz them in. With this in mind, we ask that you stay up to 10 minutes past your scheduled time to allow for overlap. If you have waited longer than 10 minutes and no one has arrived, you must call the office first before leaving the studio. If it is a weekend or after 6:30pm please call or text Greer at 708-228-8781 or Anna at 309-830-2716.Please call before you must leave the space so that MR staff has time to troubleshoot and call you back before the space is locked.
Lock-up Procedure: If there is nothing scheduled immediately after your time, you will be expected to close and lock the studio door. There is a lockbox outside the studio door (just to the right of the door) with the key. Pull the studio door closed behind you and open the lockbox to retrieve the studio door key – the lockbox code is ____. Use the key to lock the deadbolt (bottom lock) on the studio door and replace the key in the lockbox (you will need to enter the code again to do so). Please double check that the windows are closed, the lights and equipment are turned off, the
door is completely closed and locked, and the key replaced in the lockbox before leaving. Please take all personal belongings. *Please reference security section on the next page regarding admitting other people to the studio.*
Studio Maintenance:
Movement Research will maintain the studio in clean and pleasant conditions. However, your help and cooperation is needed. There is no eating or drinking in the studio under any circumstances, except plain water. Water may be kept on the table near the door but cannot be consumed on the dance floor, as spills and condensation damage the wood. You must leave the studio in the condition in which it was found.
Trash: Any trash generated by the renter must be removed. Do not leave any trash or garbage in the building including hallways, stairs, studio, etc. Trash must not be deposited in front of the building as we will be fined. Please do not deposit any food trash in the studio trash cans. If any larger, non-studio related, or food-related trash items must be deposited, please use the city trash cans. There is one located at Broadway and Spring St.
Building and Studio Security:
All persons entering the building should only be buzzed in after they provide proper identification. You shall restrict entry to unauthorized persons to the premises. The downstairs front door must never be left open under any circumstances. Please note there is an occupant in the adjoining apartment who may occasionally need use of the elevator. If you are the last person in the studio, you must lock the studio door with the key in the lockbox – see above for lockbox code & procedure.
Occupancy:
The renter will limit the number of people on the premises to 25.
Floor:
Wax, rosin, powder, water, wet paper towels, tape or any other substance may not be applied to the floor. Burning candles are not allowed. Any equipment must be moved with care so that the floor is not scratched or damaged.
Smoking:
Smoking is not allowed on the premises.
Noise:
You will conduct your activities on the premises in such manner as not to constitute a nuisance or disturb other occupants of the building, as this is a residential building. Keep conversations quiet, especially when navigating the stairs. No loud music during rehearsals. At this time, as per our lease with the building, there is no live music allowed at Eden's Expressway.
Injury:
You shall indemnify and save Frances Alenikoff and Movement Research harmless from and against any and all claims arising during the term of this agreement, for damages or injuries to property, and/or for any personal injury or loss of life in or upon the demised premises and the outer hall, excepting such claims as may be the result of our negligence, and from any law suits or judgments in any court of competent jurisdiction resulting there from against us, together with any court cost and reasonable counsel fees which may be accrued by us in defense thereof. You must notify Movement Research within 24 hours of any injury incurred.
Damage:
You shall at all times replace at your sole cost any and all damage to floor, equipment and all plate and other glass damaged or broken from any cause whatsoever by you in or about the premises. You must report any damage to Movement Research immediately.
Equipment
Movement Research provides 2 boom boxes (iPod and CD; tape and CD). We also provide a TV monitor and DVD/VHS player for playback.
